System Analysis and Design (SAAD) Assignment
Asia Pacific University of Technology & Innovation (APU)
This repository presents the academic case study and supporting documentation for the proposed Roomly Hotel Management System (HMS), developed for the System Analysis and Design (SAAD) module at Asia Pacific University of Technology & Innovation (APU). The assignment examines the operational environment of Green Haven Resorts (GHR) and evaluates how a structured hotel management system can address the limitations of existing manual and fragmented administrative workflows.
Green Haven Resorts faces practical operational challenges commonly associated with spreadsheet-dependent and manually coordinated hospitality environments, including reservation delays, inconsistent record management, communication gaps between departments, and slower reporting cycles. In this context, the assignment proposes a cloud-based Roomly Hotel Management System to improve operational efficiency, reservation handling, reporting, guest management, and housekeeping coordination while supporting long-term business scalability.
Summary: This context diagram presents the Roomly HMS as the central system interacting with external users and operational entities within the Green Haven Resorts environment.
The current operating model relies heavily on manual spreadsheet-based workflows and disconnected administrative practices. This creates booking delays, increases the risk of double-booking, weakens cross-department communication, and results in fragmented information storage across operational functions. Reporting is delayed because data must be consolidated manually, and management lacks a centralized control point for reservations, guest records, billing visibility, and room status monitoring.
The proposed Roomly Hotel Management System is a cloud-based hospitality platform designed to centralize and streamline hotel operations. The solution concept includes reservation management, real-time room status tracking, billing automation, housekeeping coordination, OTA/API synchronization, management reporting dashboards, and a deployment approach that supports future scalability. The design direction emphasizes operational visibility, data consistency, and improved coordination across front-desk and service functions.
Summary: This dashboard concept highlights centralized monitoring of hotel activity, supporting faster managerial visibility over operational indicators and daily workflow status.
Summary: This screen illustrates the reservation administration workflow, supporting booking control, record review, and improved reservation accuracy.
Summary: This interface concept shows the structured capture of reservation details to reduce manual entry issues and standardize booking creation.
Summary: This room board view demonstrates real-time room visibility, which supports occupancy tracking and reduces coordination delays between operational teams.
Summary: This screen reflects task-based housekeeping coordination intended to improve room readiness tracking and internal service communication.
Summary: This billing interface supports consolidated guest charge management and contributes to more consistent financial processing.

Summary: The Gantt chart provides a time-based overview of assignment planning activities, task sequencing, and project coordination milestones.
Summary: This process flow diagram summarizes the logical progression of the proposed operational workflow within the Roomly HMS environment.
The proposed system is operationally feasible because it addresses identified workflow inefficiencies in reservation handling, front-desk coordination, housekeeping communication, and reporting. The report indicates that operational adoption is achievable provided staff training, process alignment, and controlled system transition activities are considered.
The proposed architecture is technically feasible within a modern hospitality environment. The report supports the use of cloud-based deployment, connected front-desk workstations, mobile operational devices, and OTA synchronization concepts. The architecture also reflects practical considerations for modular growth, service continuity, and data accessibility across hotel operations.
The report concludes that the project is economically viable within the stated RM75,000 budget framework. The financial discussion supports investment in required infrastructure, software capabilities, and deployment planning while balancing expected operational improvements, reporting efficiency, and service quality gains.
The overall feasibility position supports cloud-based architecture feasibility, OTA synchronization feasibility, staff training considerations, cost estimation within budget, and structured risk mitigation planning.
Summary: This questionnaire visual captures user perspectives on payment system improvements, supporting the feasibility discussion from an operational viewpoint.
The proposed technical direction is based on a cloud-oriented deployment model supported by front-desk workstations, mobile tablets for operational staff, hybrid network connectivity, and external API synchronization capabilities. The design approach promotes centralized data management, modular scalability, backup connectivity planning, and improved coordination between core hotel functions such as reservation handling, housekeeping, billing, and reporting.
Summary: The level-0 data flow diagram outlines the high-level movement of information between the Roomly HMS and its major operational actors.
Summary: The ERD represents the core data entities required to support reservations, guest records, billing, and operational coordination.
The report identifies several practical implementation risks, including connectivity instability, system integration complexity, data migration challenges, and user adoption resistance. The mitigation approach emphasizes backup connectivity arrangements, staged integration planning, controlled data migration procedures, and staff onboarding or training measures to reduce transition risk and improve implementation readiness.

This repository contains the original SAAD report PDF, concise supporting documentation derived from the academic analysis, and officially added visual materials for interface concepts and analysis artefacts. The purpose is to present the coursework as a structured and professional systems analysis portfolio repository without altering the original report content.
This project demonstrates the importance of System Analysis and Design within software engineering by linking operational problem identification, feasibility evaluation, structured SDLC planning, and solution design into a coherent academic case study. It also highlights the value of systems thinking when addressing hospitality-sector digital transformation, where reservation accuracy, service coordination, infrastructure planning, and organizational readiness must be evaluated together rather than as isolated technical issues.
